This Maintenance & Monitoring Policy outlines how OM Digital LLC provides ongoing technical oversight, routine checks, monitoring services, maintenance actions, and reporting for digital solutions delivered to clients, including websites, cloud systems, applications, and subscription-based monitoring products.

This Policy applies to clients using our Website Health Monitor, Content & SEO Support, cloud optimization engagements, and any project requiring ongoing technical stability and oversight.

1. Purpose of This Policy

The goals of this Policy are to:

  • Ensure reliability and stability of digital systems
  • Identify issues before they create operational impact
  • Provide transparency into our monitoring processes
  • Define maintenance responsibilities and limitations
  • Clarify what is and is not included in monitoring and maintenance services

OM Digital LLC is committed to helping clients maintain secure, high-performing digital environments.

2. Scope of Services

Monitoring and maintenance services may include:

  • Automated uptime monitoring
  • Security and vulnerability checks
  • Broken link detection
  • Performance diagnostics and speed checks
  • Cloud resource monitoring
  • Monthly reporting
  • Basic SEO monitoring (depending on subscription)
  • Alerts for critical issues when detected
  • General system health assessments

These services vary based on the subscription tier or service agreement.

3. Uptime Monitoring

Our automated monitoring tools check website or system availability at periodic intervals.

Monitoring detects:

  • Downtime or outage events
  • HTTP response errors
  • Server reachability issues
  • Latency spikes

Limitations:

  • Monitoring tools cannot guarantee detection of every type of outage
  • Some events may be missed depending on DNS, server configuration, caching, or networking conditions
  • We do not control server-level infrastructure unless explicitly contracted

4. Security Monitoring

Basic security scanning includes:

  • Detection of visible vulnerabilities
  • Malware-related signals
  • Blacklist checks
  • SSL certificate validation
  • Security header status
  • Outdated software indicators

Limitations:

  • This is not a full security audit
  • It does not replace penetration testing
  • It cannot detect all malware or backend vulnerabilities
  • It scans publicly accessible elements, not server internals
  • Advanced security hardening requires a separate engagement

5. Performance Monitoring

Our performance diagnostics may include:

  • Page load timing
  • Core web vitals indicators
  • Render-blocking resources
  • File weight analyses
  • Caching effectiveness
  • API response considerations

Performance scores may vary due to:

  • User location
  • Device type
  • Browser versions
  • Third-party scripts
  • Hosting environment
  • External APIs or SaaS integrations

6. SEO & Content Monitoring (Subscription Dependent)

Where included, SEO monitoring may track:

  • Keyword changes
  • Organic traffic patterns
  • Search visibility
  • On-page structure issues
  • Content opportunities
  • Indexing status (where detectable)
  • Broken links and redirect chains

Limitations:

  • Search engine data availability varies
  • Ranking fluctuations often occur independently of your website changes
  • We do not guarantee improvements in search rankings

7. Maintenance Activities

Maintenance actions may include:

  • Applying small fixes that fall within the monitoring scope
  • Addressing critical issues when technically feasible
  • Advising on required updates or configuration changes
  • Updating SSL certificates (if access is provided)
  • Removing broken links or updating deprecated references
  • Implementing minor optimizations
  • Recommending hosting or system-level fixes

Maintenance does not include:

  • Full redesigns
  • Major development work
  • Large-scale migrations
  • Custom feature builds
  • Emergency response requiring immediate intervention outside scope
  • Rebuilding damaged environments due to third-party actions
  • Fixing issues caused by client changes or misconfigurations

These require separate project quotes.

8. Client Responsibilities

Clients must:

  • Maintain access to hosting, DNS, or platforms for us to deliver monitoring reports
  • Renew hosting, domain registration, and SSL before expiration
  • Avoid installing unverified plugins, scripts, or extensions
  • Inform us promptly of system changes that could affect monitoring
  • Ensure correct contact information for receiving alerts and reports
  • Review monthly reports and act on recommendations

Monitoring cannot compensate for insecure or outdated hosting environments.

9. Reporting

Clients may receive:

  • Monthly performance and SEO reports
  • Security status summaries
  • Uptime logs
  • Incident notifications (if applicable)
  • Technical recommendations

Reports include actionable insights but do not guarantee outcomes.

10. Incident Handling

When an issue is detected:

  • We will notify the client with details and recommended next steps
  • We will classify the issue as low, medium, or high priority
  • We may apply quick fixes where possible (subscription-dependent)
  • Issues requiring deeper intervention may require a separate quote

We do not guarantee:

  • Immediate response times
  • Resolution of issues caused by hosting providers
  • Fixes for problems originating from third-party systems

11. Limitations of Monitoring Services

Monitoring services are not a substitute for:

  • Dedicated DevOps management
  • 24/7 emergency support
  • Enterprise disaster recovery plans
  • Full cybersecurity audits
  • Manual code reviews
  • In-depth SEO campaigns

Monitoring is designed as an early detection and general oversight system.

12. System Access Requirements

For best results, clients may need to provide:

  • Read-only analytics access
  • Hosting or server access (where applicable)
  • CMS access for basic fixes
  • Access to cloud dashboards for monitoring integrations

Without access, our ability to assist may be limited.

13. Suspension of Monitoring

Monitoring may be suspended if:

  • Payments fail
  • The website is taken offline by the client
  • Credentials are changed without notifying us
  • Hosting expires
  • The client engages in abusive behavior or policy violations

Suspension does not refund the current billing cycle.

14. Termination of Maintenance & Monitoring

Clients may cancel subscriptions at any time.

Cancellation stops future billing but does not issue refunds for prior charges.

OM Digital LLC may end monitoring services if:

  • The client repeatedly ignores recommended fixes
  • Security risks become unmanageable
  • There is evidence of fraud or abuse
  • The client refuses to maintain a minimally stable environment

15. No Guarantee of Issue Prevention

While monitoring increases visibility and identifies problems, it cannot prevent all incidents.

We do not guarantee:

  • Zero downtime
  • Zero security incidents
  • Perfect performance
  • SEO ranking improvements
  • Error-free environments

Monitoring provides insights—not absolute protection.

16. Updates to This Policy

OM Digital LLC may update this Policy to reflect:

  • New technologies
  • Service enhancements
  • Operational changes
  • Security improvements
  • Industry best practices

The Effective Date indicates the latest revision.
