This Payment, Billing & Secure Transaction Policy explains how OM Digital LLC handles payments, subscriptions, invoicing, billing disputes, refunds, and transaction security for all services, including consulting, development, cloud optimization, digital products, and subscription-based offerings.

By purchasing or using any OM Digital LLC service, you agree to the terms outlined in this Policy.

1. Accepted Payment Methods

OM Digital LLC supports a range of secure digital payment methods, including:

  • Credit and debit cards processed through Stripe
  • ACH bank transfers (U.S. only)
  • Domestic and international wire transfers
  • Other approved electronic payment methods when applicable

We do not accept cash, checks, cryptocurrencies, or payment methods not explicitly listed unless otherwise arranged in writing.

2. Payment Processing and Security

All card transactions are processed via Stripe, a PCI-DSS Level 1 certified payment processor. We do not store full credit card numbers or sensitive payment data on our servers.

Security measures include:

  • SSL/TLS encrypted transmission of all payment data
  • Tokenization of card information
  • Fraud detection and transaction monitoring
  • Strong customer authentication where required
  • Industry-standard encryption for data in transit and at rest

ACH and Wire transfers are managed through secure banking infrastructure compliant with U.S. federal regulations.

3. Billing Terms

3.1 Upfront Payments

Most services require full upfront payment or milestone-based payments before work begins.

Work does not commence until payment is successfully received.

3.2 Subscription Services

Ongoing services such as Website Health Monitor and Content & SEO Support operate on recurring billing schedules.

Subscriptions renew automatically unless canceled before the renewal date. Renewal periods may be monthly or annual depending on the plan selected.

Unsuccessful renewal payments may result in:

  • Service interruption
  • Suspension of reports or access
  • Termination of subscription

3.3 Invoicing

Invoices may be issued for custom or enterprise engagements.

Invoices must be paid by the due date listed unless otherwise agreed.

Late or failed payments may result in delays, suspension of work, or administrative fees.

4. Taxes and International Charges

Users are responsible for any applicable taxes, VAT, GST, or government-imposed charges based on their country of residence or business registration.

Foreign bank transfers may incur additional fees charged by intermediary banks. OM Digital LLC is not responsible for external bank charges.

5. Refunds and Cancellations

Refunds follow the principles below unless otherwise stated in a specific service agreement:

  • Completed consulting, strategy, design, or development work is non-refundable.
  • Digital products and downloadable content are non-refundable once delivered.
  • Subscription fees already billed for the current cycle are non-refundable.
  • If a service has not yet begun, a partial refund may be considered at our discretion.

For subscription cancellations:

  • Cancellation stops future billing but does not refund past charges.
  • Service remains active until the current billing period ends.

Chargebacks filed without prior communication may result in account suspension, withholding of deliverables, or legal follow-up depending on severity.

6. Secure Payment Practices

We employ strict internal controls to ensure safe handling of financial information, including:

  • Role-based access to billing systems
  • Encrypted storage of non-sensitive billing metadata
  • No internal visibility of full payment card numbers
  • Monitoring for unusual or suspicious activity
  • Verification steps for high-value or international payments

We never request your payment details via:

  • Email
  • Social media
  • Unsecured messaging platforms

If you receive such a request, do not respond and notify us immediately.

7. Fraud Prevention and Verification

To protect our clients and systems, OM Digital LLC may:

  • Request identity verification for high-risk transactions
  • Delay fulfillment pending fraud screening
  • Cancel orders flagged as suspicious
  • Refuse service to accounts involved in chargeback abuse or fraudulent behavior

Verification may include documents such as:

  • Government ID
  • Business registration information
  • Proof of address
  • Payment authorization confirmation

Such steps are implemented only when necessary for compliance and security.

8. Transaction Protection and Liability

8.1 Client Protection

Your payment information is protected through:

  • PCI-DSS compliance
  • Strong encryption
  • Secure payment gateways
  • Continuous infrastructure monitoring

8.2 Our Responsibility

While we take extensive measures to protect your transactions, OM Digital LLC is not liable for:

  • Bank-side processing errors
  • Third-party platform outages
  • Delays caused by financial institutions
  • Unauthorized transactions due to compromised user devices
  • User-side malware, phishing incidents, or credential exposure

Users are responsible for securing their own devices, browsers, and access credentials.

9. Disputed Charges

If you believe a charge is incorrect:

  • Contact us at contact@omdigital.cc within 10 business days
  • Provide transaction details and supporting documentation
  • We will investigate and respond promptly.

Initiating a chargeback before contacting us may slow down resolution and result in temporary suspension of services.

10. Currency

Unless otherwise specified:

  • All prices are listed in United States Dollars (USD)
  • Conversions for international transactions are handled by your bank or payment provider
  • OM Digital LLC is not responsible for exchange rate differences or conversion fees.

11. Price Changes

We may update pricing for services or subscriptions.

For recurring subscriptions, users will be notified before new pricing takes effect.

12. Data Retention for Transaction Records

Payment and billing data is stored for up to 7 years to comply with U.S. tax and accounting regulations, as well as anti-fraud requirements.

We store only non-sensitive payment metadata such as:

  • Last four digits of your card
  • Transaction ID
  • Billing address
  • Payment status
  • Invoice history

Full card numbers or CVV codes are never stored.

13. Payment Failures

If a payment attempt fails:

  • We may retry the payment
  • We may request an alternative payment method
  • We may temporarily suspend services until the issue is resolved

Repeated failures may result in account cancellation.
